Format Guide: Records and Images

In Secure Share, Badge Users are able to upload a collection of records and images instead of individual records. Files must be correctly formatted before uploading into Badge.


Any fields and files incorrectly formatted and imported will result in errors in Badge. 


Record Format

Before uploading a new file, please review the following: 


  • Column fields must be the following data type:

 

  • Number: Integer or Decimal value

 

  • Text: Combination of letters, numbers, spaces, or supported special characters

 

  • Date/Time: must be in one of the following formats:

 

  • yyyy-mm-dd (e.g., 2023-05-12)
  • yyyy-mm-dd hh:mm:ss (e.g., 2023-05-12 05:45:07)
  • mm/dd/yyyy (e.g., 2023/05/12)
  • mm/dd/yyyy hh:mm:ss (e.g., 2023/05/12 05:45:07)

 

  • Files must be saved as a CSV file and less than 5MB

 

  • Required Column Fields: ID and Campus


The ID column will be the student/staff ID. If you have a new student/staff in the CSV file that is not in Badge, create a new ID for the student/staff. 

The Campus column will be the student/staff's location (e.g., School, Office, Store)


  • Do not import any fields that do not require sorting, filtering, printing, or identification purposes


Image Format

Do not type the .jpg/.jpeg or .png extension when renaming the image files. Save the images as a JPG/JPEG or PNG. 


Before uploading a new image, please review the following:

 

  • Image files must be saved as .JPG/JPEG or .PNG

 

  • Image files must be less than 100 KB

 

  • The total size of the image files uploaded at once must be less than 1 GB

 

  • The name of the image file must match the record's ID. (e.g., Student ID is 512, image file should be "512")
