ID Print: Reprint Reasons & Notes – Client Guide

Modified on Fri, 15 Aug at 5:40 PM

Feature Overview

The Reprint Reasons & Notes feature in IDP 2 provides greater visibility and accountability when reprinting ID cards. It helps your organization:

  • Track and document why each reprint is made

  • Generate reports for auditing and operational review

  • Add additional notes to give more context about the reprint

This ensures that all reprints are recorded with clear reasoning and, if needed, detailed explanations.

Note: This feature is available only in IDP 2. Your account manager will configure it for you based on your provided list of reprint reason codes.
Coming Soon: Enhanced reporting capabilities based on collected reprint reasons will be available in a future release.

How It Works

A Badge Owner must contact support to configure the Reprint Reasons.

Reprint Reasons

When printing a replacement card in IDP 2, you will see a dropdown menu asking you to select a Reprint Reason.

  • These reasons are customized for your organization.

  • They might include options such as Damaged Card, Lost Card, or Updated Information.

  • If the Other option is available and selected, you will be required to enter an explanation in the Notes field before continuing.

Reprint Reason Notes

If your organization has enabled Reprint Reason Notes, you can also add extra details about the reprint.

  • This may be used to include information like an invoice number, cost, or special circumstances.

  • If Other is selected as the reason, adding a note will be required before printing.

Example Use Case

  1. You need to reprint a card because the original was damaged.

  2. In the print dialog, you select Damaged Card from the dropdown.

  3. (Optional) If notes are enabled, you add extra context such as “Scratched photo – unusable.”

  4. The print job is completed, and the reason is recorded for reporting.
